School Management System for Albany Schools

When the original vendor raised licensing fees by 300% and the board realized their system couldn’t handle concurrent parent logins during report card season, they realized a custom solution was the only way to regain control. We started by mapping every existing workflow, from the front-desk check-in kiosk to the nightly backup of sensitive student data, so nothing fell through the cracks.

The biggest bottleneck wasn’t the technology; it was the inconsistent data formats. Teachers recorded grades in seven different ways across six buildings, and the state report generator choked on the variations. We built a single ingestion layer that normalizes attendance, grades, and discipline incidents into a consistent schema the state accepts without rejections.

Most off-the-shelf systems force schools into rigid templates that break local processes. Albany’s teachers needed flexible weighting for honors courses and weighted GPAs per department, a feature only available in enterprise solutions costing five figures a year. Our Laravel backend handles custom grading scales, weighted averages, and real-time transcript generation without locking the district into a vendor’s upgrade cycle.

We chose MySQL for the core data store because it scales to tens of thousands of concurrent users without the latency seen in NoSQL approaches when running complex joins for state reporting. The REST API layer we built on Node.js (wrapped behind Laravel) lets the district plug in new tools like the state’s immunization tracker without rewriting the entire system.
